The final surcharge may vary based on pickup time, return time, route, availability, and circumstances and will be communicated in advance whenever reasonably possible.
Holidays, severe weather, special events, long-distance destinations, additional stops, extended waiting time, and complex itineraries may require custom pricing.
Bozeman Car Service is a private, reservation-based transportation service. When a reservation is confirmed, the vehicle and driver are committed to the customer, and other transportation requests may be declined for the reserved date and time.
Airport delays that change the originally scheduled pickup time may incur an extended waiting-time charge of $125 per hour.
The charge will be prorated based on the additional time caused by the delay.
Flight delays can affect pickup time, drop-off time, driver availability, and the remainder of Bozeman Car Service’s schedule. The extended waiting-time charge may apply even when the driver is not physically waiting at the airport because the vehicle and driver must remain committed and available for the delayed passenger.
Bozeman Car Service monitors known commercial flight delays and will make reasonable efforts to accommodate an updated arrival time. Continued availability is not guaranteed when a significant delay conflicts with another confirmed reservation or makes the service impractical to complete.
Customers must promptly notify Bozeman Car Service of changed flight numbers, missed connections, rebooking, flight cancellations, or other itinerary changes.
Airline delays, missed connections, cancellations, and other flight disruptions are outside the control of Bozeman Car Service and do not automatically qualify the reservation for a refund.
Full payment is required at the time of booking unless otherwise agreed to in writing.
A reservation is not confirmed until full payment has been received and confirmation has been issued by Bozeman Car Service.
Due to the limited availability of private transportation in the Bozeman area and the significant effect each reservation has on the booking calendar, cancellations must be made at least 14 days before the first scheduled service date to qualify for a refund.
Cancellations made 14 days or more in advance will receive a full refund, less any nonrefundable payment-processing fees.
Cancellations made fewer than 14 days before the first scheduled service date are nonrefundable.
Failure to appear for a scheduled pickup or service will be treated as a same-day cancellation and is nonrefundable.
Bozeman Car Service reserves the right to make reasonable exceptions when service cannot be provided because of an official road closure, severe weather emergency, or another circumstance beyond the control of both the client and Bozeman Car Service.
Requests to change a service date, pickup time, destination, itinerary, number of passengers, or other reservation details will be considered based on availability.
Changes are not guaranteed and may result in additional charges for increased driving time, mileage, waiting time, or other changes to the originally reserved service.
A request to move a reservation to another date does not automatically avoid the cancellation policy. Any rescheduling or future-service credit is offered solely at the discretion of Bozeman Car Service.
Customers are expected to be ready at the confirmed pickup time.
Waiting time caused by a customer delay may be charged at the applicable hourly rate or another rate stated in the reservation confirmation.
Customer delays may affect the planned itinerary, scheduled stops, arrival time, and Bozeman Car Service’s ability to provide the complete reserved service.
Bozeman Car Service is not responsible for shortened service, missed activities, or other consequences caused by a customer’s delay.
Weather, traffic, wildlife activity, construction, road conditions, airline disruptions, and other circumstances outside the control of Bozeman Car Service do not automatically qualify a reservation for a refund.
Ordinary Montana or Wyoming weather conditions are not grounds for cancellation or refund when roads remain open and Bozeman Car Service determines that transportation can be provided safely.
Routes, stops, pickup times, drop-off times, and itineraries may be modified because of weather, traffic, construction, wildlife activity, park restrictions, road conditions, or safety concerns.
If Bozeman Car Service determines that transportation cannot be safely or legally provided because of an official road closure, unsafe conditions, a vehicle emergency, or another operational issue, the customer may be offered rescheduling, a service credit, or a refund for the portion of service that cannot be performed.
The appropriate remedy will be determined by Bozeman Car Service based on the specific circumstances.
A customer may be considered a no-show when the customer cannot be located or contacted within a reasonable period following the confirmed pickup time.
No-shows are nonrefundable.
Waiting-time charges may also apply before the reservation is classified as a no-show.
Customers are strongly encouraged to purchase travel insurance covering illness, airline delays, missed connections, flight cancellations, weather, road closures, and other unexpected travel disruptions.
